Recent Actions of the Board of Directors and Committees
Landscaping
- Wednesday 9/8 - Remove all downed tree limbs, those due to come down from
the common area surrounding unit #61. Trim tree limbs closest to the
Unit #61 structure.
- Wednesday 9/29 - Board provided approval for Sentry to contract 2005 snow
plowing to Plouff, our current 2004 provider.
- Monday 11/01 - Reached a three year landscaping contract with Davis
Property Management covering the next three seasons.
- Wednesday 11/03 - Renegotiated the snow plowing contract with Plouff to
lock in price over the next three seasons.
Financial
- Sentry submitted draft 2005 budget to the Board of Directors.
- Friday 10/15 - Sent letter to unit owner accessing them with the insurance
deductible and proceeds shortage with regards to Master Policy insurance
claim.
- Saturday 11/27 - Board approves 2005 budget with $5 increase in condo
fees.
- Sunday 12/5 - Budget provided to all unit owners during Special Meeting.
Maintenance
- Sunday 8/22 - Tom walked through the complex with the Brentwood Fire
Department to access damage to the system during the lightning storm of
Friday, 8/20. Panel reporting 22 troubles after the storm. Other
non-storm related issues brought to Sentry's attention.
- Tuesday 8/24 - Sentry issued a repair order to East Coast Security for the
fire panel work.
- Wednesday 9/8 - Sentry to construct permanent basement ladder in one utility shed
where a temporary ladder was placed at the request of the Brentwood FD.
- Wednesday 9/8 - Sentry to verify that all utility sheds have working correctly keyed
locks at the request of Brentwood FD.
- Wednesday 9/22 - East Coast Security to address "trouble
warning" on building 3 fire panel.
- Thursday 9/23 - Sentry installed rain diverters over each front porch on
buildings 1 &10.
- Thursday 9/23 - Chip Winslow added or replaced building numbers with reflective numbers
at the request of the Brentwood FD.
- Thursday 9/23 - East Coast Security returning to building 3 with access to
an individual unit.
- Monday 9/27 - Water filters replaced in buildings 1 & 2 by Tom King
and Chip Winslow.
- Friday 10/15 - Replaced burned out street lamps. Checked water pump in
building 2 in response to reported issue.
- Wednesday 2/9 - Felix authorized to replace failed main septic pump behind
building 7.
- Tuesday 2/15 - Board responds to Sentry regarding two requests from unit
owner's regarding unit damage.
Covenants
- Wednesday 9/1 - Sent letter to unit owner to remove improper rear deck
gate with specifications of the approved deck gate.
- Friday 10/8 - Tom King and Chip Winslow met with Attorney Robert Ducharme
regarding amending our condo docs to comply with the Town of Brentwood's
trash request.
- Tuesday 11/09 - Received draft trash amendment from Robert Ducharme.
- Sunday 12/05 - Trash amendment is passed with the majority vote of Unit
Owners.
- Tuesday 12/28 - Trash amendment is signed by Tom King and Chip Winslow and
notarized as required.
- Friday 1/07 - Trash amendment is recorded with the Rockingham County
Registry of Deeds
- Wednesday 3/09 - Letter sent to all unit owners regarding the prohibited
street parking.
- Monday 3/14 - 1 vehicle tagged with parking violation sticker.
- Monday 3/14 - Written notice sent to unregistered vehicle left long term
within the common areas.
- Tuesday 3/22 - 3 vehicles tagged with parking violation stickers.
Web Site
- Friday 9/3 - Updated address list to reflect Sentry Management WMC address record.
- Saturday 9/18 - Rules and Regulations published to the web site.
- Wednesday 9/29 - Published fifth amendment to the Condominium Declaration
to the web site.
- Saturday 10/16 - Published two corrections to the unit owner address list
- Saturday 1/1 - Published news regarding new condo fees, trash amendment,
and landscaping contracts.
- Sunday 1/2 - Corrected technical issue with the community discussion
board.
- Sunday 1/2 - Published the sixth amendment to the Condominium Declaration
to the web site.
- Sunday 1/16 - Updated the book and page number for the sixth amendment.
Administrative
- Sentry Management processing claim with our insurance company regarding
damage to Unit #61 due to downed tree limbs that fell during lightning
storm.
- Tuesday 9/7 - Added repair work to the fire alarm panel to the insurance
claim.
- Thursday 9/16 - Meeting held between Sentry and the Board to discuss
concerns over management, insurance claim, the selection of an attorney (doc
amendment), fire sprinkler testing and other items.
- Friday 9/17 - Sentry to coordinate fire system testing by East Coast
Security and sprinkler anti-freeze level testing by Tri-State to occur on a
single Saturday in October.
- Wednesday 9/22 - Sent letter to all Unit Owners regarding upcoming fire
sprinkler testing.
- Tuesday 9/28 - Board members met to discuss outstanding issues
- Monday 10/4 - Chip Winslow obtained copies of all condo docs, site plans,
and certifications from the Registry of Deeds and delivered those docs to
our attorney to work on the trash amendment.
- Monday 10/4 - Sentry replied to Liberty Mutual's request for information
regarding 12/04/02 insurance claim to the master policy.
- Tuesday 10/19 - Tom King and Chip Winslow attended the Brentwood
Selectmen's meeting and received a 90-day extension to amending our
documents to reflect town provided trash pick-up.
- Wednesday 12/15 - Addressed concern of a vendor non-payment with Sentry.
Sentry not sure why it wasn't paid, but to pay in the next payment cycle.
- Thursday 1/6 - Insurance company to visit WMC property for a site review.
- Friday 1/7 - Sentry in receipt of water damage report to a particular
unit. Board and Sentry to address.
- Tuesday 1/11 - Sentry in receipt of report from Tri-State Sprinkler
regarding our sprinkler system. Board to review during next monthly
meeting.
- Friday 1/15 Letter sent to all phase III unit owners regarding a recall to
hot water heaters that we installed in phase III.
